QuickBooks Online Too Expensive? Options for Basic Bookkeeping

If QuickBooks Online feels too expensive, start by checking what you actually use. You may be able to lower your costs with a smaller plan, a free bookkeeping tool, a spreadsheet or suitable desktop software. The right choice depends on the work you need to do and the time you can spend doing it.

For an owner who mainly sends invoices, records expenses and checks monthly results, paying for unused features can be frustrating. But replacing a subscription with more manual work does not always save money.

This guide focuses on US small businesses that do not need payroll included in their bookkeeping software. Product information and prices were checked on September 18, 2026. It compares published terms and practical selection criteria, rather than hands-on test results.

Start with the bookkeeping jobs you need to complete

Write a short list before comparing products:

  • Record money received and business expenses.
  • Create invoices and see which customers still owe you.
  • Compare your records with bank statements and resolve differences.
  • Review useful reports, including profit and loss.
  • Export or share records in a format your accountant can use.
  • Keep records accessible and backed up.

Then add anything specific to your business: inventory, sales-tax tracking, multiple users, projects or integrations. A business with those requirements may need more than the lowest-cost plan.

Separate essential features from conveniences. Automatic bank imports may be optional for one owner and essential for another who would otherwise spend hours entering transactions. Also check payroll as a separate requirement: software without payroll included does not remove any payroll obligations your business may have.

First, check whether your current plan is oversized

Before moving your records, review your current subscription and recent bills. Look for features you never use, optional services and promotional pricing that has ended. Confirm what a downgrade would remove before making a change.

At the time of review, QuickBooks Online Simple Start displayed a regular US price of $38 per month, with $19 per month for the first three months under the advertised promotion. Eligibility and checkout terms matter. Check Intuit’s current pricing.

Intuit also lists a QuickBooks Free option for self-employed businesses. Its published limits include no accountant access and two invoices per month, with additional invoicing available if you qualify for and enable QuickBooks Payments. This is worth checking if your needs are very limited; eligibility, processing costs and other limits still matter. Review the self-employed plans.

Do not assume an existing company can move between every product or plan without restrictions. Check the supported transition and export options first.

Compare four ways to reduce bookkeeping costs

1. Use a spreadsheet for a straightforward workflow

A spreadsheet may be enough when your records are simple, you are comfortable checking formulas, and you can keep invoices and supporting documents organized.

The work remains yours: maintaining categories, checking totals, tracking unpaid invoices and comparing the spreadsheet with your bank statements. An income-and-expense sheet alone is not a complete solution for every business.

Consider software when you repeatedly enter the same details, struggle to track outstanding payments or spend too much time preparing information for your accountant. There is no universal transaction count at which every business must switch.

Include the cost of your spreadsheet application if you do not already have one. “I already pay for it” and “it is free” are different assumptions.

2. Consider a free cloud plan

Wave’s Starter plan lists a $0 software price and unlimited estimates, invoices, bills and bookkeeping records. Its Pro plan adds features including automatic bank imports, subject to supported financial institutions. Optional payments and other services can incur charges. Review Wave’s plans and limits.

Free cloud software can make sense if the included tools cover your daily work. Check how you will enter transactions, share access and obtain help before committing.

A free plan also remains a service with terms that can change. Keep an export and record-retention routine regardless of what you pay.

3. Consider free desktop accounting software

GnuCash is a free, open-source option for personal and small-business accounting. Its published features include double-entry accounting, income and expense tracking, reports and transaction imports. Explore GnuCash’s official overview.

It is a candidate if you want desktop software and are willing to learn a different workflow. Try representative tasks with sample data before moving your business records. Check the reports and export formats your accountant needs, and plan how you will back up and restore the files.

4. Evaluate a paid desktop offer carefully

A desktop workflow may suit an owner who works mainly at one computer and is comfortable managing local files. Whether a particular offer saves money depends on its actual license, required renewals, compatibility and services.

Desktop does not automatically mean a one-time purchase. Intuit’s US announcement identifies Desktop Pro Plus, Premier Plus and Mac Plus as subscription products and says new subscriptions stopped being sold after September 30, 2024, while existing subscribers could continue renewing under the stated terms. If a seller advertises an older version or a “lifetime” offer, get clear answers about the exact entitlement, who can activate it, any recurring charges, reinstallation, supported computers and included services. Ongoing use of a version is a different question from access to updates, technical support or connected banking features.

Compare the first year and the next three years

A monthly fee is easier to evaluate when you extend it over the period you expect to use the software.

For a paid desktop offer, add its verified purchase price, any required renewals, setup, backup costs and services. Consider possible future upgrade costs separately. A reliable price and entitlement for the exact offer are needed before claiming a specific saving.

For example, imagine an alternative saves $20 a month but adds two hours of work. If you value that time at $20 an hour, the extra work represents $40 a month. This fictional example shows why the lowest bill may not produce the lowest overall cost.

Keeping a cloud subscription can be reasonable when it saves time, supports your accountant or provides a feature your business depends on. Downgrading or changing providers may still reduce the bill without losing that workflow.

Before canceling or moving your records

Test your proposed replacement with sample data. Create an invoice, record an expense, check a report and try the export process. Confirm how existing records will transfer; a different platform may not accept every field or transaction in the same way.

Save the reports and records you need before making the change. Agree on a cutover date, compare balances, and confirm your accountant can work with the result. Avoid entering live transactions in two systems without a clear plan for which one is authoritative.
